AI in the agency: what works today and what does not yet

What works is anything that takes over repetitive work with a checkable result: descriptions, translations, staging photos, first replies out of hours, property-client matching. What does not work is anything requiring judgement — valuing without a human, negotiating, deciding which client to take on. The rule is simple: AI prepares, the human decides.

What works today

What these have in common is that they take over something repetitive whose output can be checked in seconds.

Saves real time
  • Listing descriptions. Readable copy out of the attributes in fifteen seconds. The broker corrects it instead of writing from scratch, and correcting is three times faster.
  • Translation into every language. The listing goes out in English, German and Russian without paying a translator. For coastal properties that is not a convenience, it is access to another market.
  • Staging photos. An empty room with furniture added collects noticeably more opens. Always disclose it.
  • First reply out of hours. A chatbot that answers at 22:40 and captures the phone number is the difference between an enquiry and a lost client.
  • Property-client matching. Not new and not flashy, but the most useful of the lot: a new property finds the people waiting for it by itself.

What does not work yet

All five are part of OptiAI and run on a monthly token allowance rather than a plan tier — an agency that only wants these can use them on a lower subscription.

Automated valuation with no human. The model computes averages but cannot see that the neighbour upstairs is loud, that the block is about to be renovated, or that the view will be built out within a year. On a standard flat in a standard neighbourhood it is only slightly wrong. On anything else it is wrong in a way that costs you the instruction.

Negotiation. Any tool promising to run the conversation instead of the broker is selling a fantasy. Property deals close on trust, and trust is not built with generated text.

Qualifying the client. Whether someone has real money and real intent comes out of a conversation, not a form.

Where the risk sits

Two risks are real and easy to manage if you know about them in advance.

Publishing without checking. An AI description sometimes adds something that does not exist — "close to the metro" for a district with no metro. If that reaches the portal unchecked, you are answerable, not the model. So generated copy gets read before it goes out.

Client personal data. When a tool sends names and phone numbers to an external model provider, that is new processing under GDPR. Ask where the data goes and whether it can be switched off.

How to roll it out to a team

Not all at once. Start with one thing, usually descriptions, because the benefit shows on day one and nobody resists it.

A month later add the second. A team handed eight new features in one day is using none of them two weeks later.

And one rule worth saying out loud to everyone: AI prepares, the human decides. No text reaches a client or a portal without a broker having read it.

Frequently asked questions

Will AI replace brokers?

Not in this job. It replaces writing descriptions, translation and part of the first contact. It does not replace the viewing, the negotiation or accountability to the client. Brokers who use it displace brokers who do not — that is the actual change.

What does AI cost in this kind of software?

It is usually included in the higher tiers, with a monthly cap on generations. Ask what the cap is and what happens when you exceed it, because that is where the difference between plans hides.

Does AI understand Bulgarian?

For descriptions and translation, yes, at a good level. For voice input the quality depends on background noise. Test it with your own recording from a car, not in a quiet room at a demo.
