From 1 to 100 agents — without changing systems

You start on your own and grow in the same system. The hierarchy, permissions, enquiry distribution and per-agent reports are built in from day one — you switch them on when the time comes.

How the system grows with you

The same data from the first agent to the hundredth. Only the plan changes.

On your own — Starter

Unlimited listings, a CRM for contacts and enquiries, publishing to 10+ portals. €15 a month excluding VAT.

A small team — up to 10

With a fourth agent or a second office the plan moves to Core on its own. Permissions by role, shared contacts and enquiry distribution.

Teams — 10 to 50 people

Managers with teams: everyone sees their own people, and the hierarchy has no limit on levels. Offices, per-agent reports, lost deals with a reason.

A network — 50 to 100 and more

Several offices in one database, projects and buildings on Pro, Enterprise on a dedicated server — with onboarding, training and an SLA.

What it costs at every size

You pay per agent, per month. Amounts exclude VAT. There is no setup fee, and moving your data over is free.

  • Starter is for one office and up to 3 agents; with a fourth agent or a second office the plan moves to Core.
  • Core has no limit on offices or agents. Pro adds projects and buildings, 360° tours, a 3D map, a double AI allowance and photo staging.
  • Add-ons: AI chatbot — €50 a month; connecting AI assistants (MCP) on Core — €30 a month, included in Pro.
  • Enterprise — a dedicated server for the agency alone, by quote.

What the manager sees

Reports by person, not by gut feeling — and every manager sees only their own team.

A table for every agent

Active listings and searches, listings added, sold and rented, tasks — for every person on the team.

Activity

Viewings, meetings and calls, lost deals and success rate — deals against deals plus lost ones.

Lost deals with a reason

When archiving, the system asks why: a deal without us, the client gave up, no answer. You also see the turnover missed.

Enquiry distribution

Manual or automatic in turn: online agents first, 10 minutes to accept, otherwise it goes to a colleague. Around the clock.

Commission per deal

The seller’s and buyer’s percentage, the other agency and the external agent with their commission — for every deal.

270 separate permissions

Roles with permission groups and individual exceptions — in one grid with 14 sections.

It holds up with a large database

Measured, not promised.

50000+listings

A list of over 50,000 listings loads in 1.4 milliseconds from cache and in 369 milliseconds without it.

∞hierarchy levels

Managers over managers — no limit. Everyone sees the people below them.

10minutes

for an agent to accept an enquiry before it moves to a colleague — around the clock.

200000+listings in OptiShare

Client searches are also matched against other agencies’ and the portals’ listings.

Frequently asked questions

How much does OptiEstate cost for 10 agents?

€220 a month excluding VAT on the Core plan (€22 per agent), or €320 on Pro. There is no setup fee, and moving your data over is free.

Is there a limit on agents or offices?

Not on Core or Pro. Starter is for one office and up to 3 agents; with a fourth agent or a second office the plan moves to Core on its own.

How are enquiries distributed between agents?

Manually or automatically. Automatically, an enquiry from a client who already has an agent goes to them, and the rest are handed out in turn to active agents, online ones first. The agent has 10 minutes to accept, otherwise it moves to a colleague — around the clock.

Can a manager see only their own team?

Yes. Every manager sees their people and their records, however many levels down the hierarchy goes. The owner sees everything.

Will the system cope when the database gets large?

A list of over 50,000 listings loads in 1.4 milliseconds from cache. OptiShare matching runs over more than 200,000 listings.

Do we have to change systems as we grow?

No. Only the plan changes — the data, the people and the history stay where they are. For a large organisation there is Enterprise on a dedicated server.
