The viewing is in the calendar — and the reminder is on your phone
Every agent’s meetings, viewings and tasks sit in one calendar on their dashboard. Tasks remind you by themselves, and the system keeps count of expiring contracts for you.
Try one agent’s week
A demo with made-up people: a viewing in the calendar, a task for it with a reminder, and the system’s morning round.
- Call Veselin K.promised for FridayFriday
- One calendar
Meetings, viewings and tasks on the agent’s dashboard — by month or as a list.
- A task that rings
A reminder when it is due, an hour, a day or three days before — or at a time you choose.
- A morning round
At 09:00 — who to call, at 09:15 — the tasks, at 09:30 — the contracts that are running out.
Nothing left in someone’s head
Viewings and meetings
They are booked from the property, the search or the contact — and show up in the calendars of both the property’s and the buyer’s agent.
Tasks with a priority
A due date, a low, medium or high priority, and a link to a client, property, search or project.
For a person, group or office
A task goes to one agent, a group or a whole office.
Monthly tasks
A recurring task creates itself again for the next month.
The calls that get forgotten
After a new contact the system plans a call in a week, then every two weeks; after a deal — to the seller and to the buyer.
Expiring contracts
Exclusive and commission agreements, rentals and project contracts — with a notice that comes more often towards the end.
Deadlines are watched by the system
the first notice of an expiring contract; then at 21, 14 and 7 days
up to the day it expires
09:00, 09:15, 09:30 — not four at once
in the external calendar feed — and three back

Frequently asked about the calendar
Do viewings show up in my Google Calendar?
Yes. Each agent creates a personal subscription link and adds it to Google, Apple or Outlook. Viewings, meetings and tasks show up there by themselves — from three months back to a year ahead. Google refreshes the subscription every 12–24 hours, Apple about every 15 minutes.
Can I move a viewing from Google Calendar?
No — the link is one-way. You make the change in OptiEstate and the calendar picks it up. A two-way link with Google and Outlook is coming soon.
How does the system remind me of a task?
When you create it you pick a reminder — when it is due, an hour, a day or three days before, or at an exact time. The notification comes to the bell and to your phone, if you have allowed notifications.
Can a task go to the whole office?
Yes. A task goes to one person, a group or an office, with a priority and a due date, and a monthly one repeats by itself.
Who sees the viewing if the property is one agent’s and the buyer another’s?
Both of them. The viewing shows up in the calendar of the property’s agent and of the search’s agent.
Does the client get a reminder of the viewing?
Yes, by SMS, if the agency has connected SMSAPI and switched the reminder on: 2, 3 or 24 hours before the viewing, once per viewing and never between 21:00 and 8:00. The viewing confirmation can go by SMS too — with the time and the agent’s name and phone.
Do I need an app from the store?
No. OptiEstate installs on the phone as an app (PWA) and sends notifications without the App Store or Google Play.
From the viewing to the deal
No viewing without a reminder
In the demo we book a viewing and watch it reach the phone and Google Calendar.
